Sending referrals to specialists for a patient consultation has never been easier with Avaros. Generate consultations that auto-populate the patient, provider and specialist information and fax directly from the same window. Track what’s completed and manage your specialist listings.
The basic’s on consultations we’ll be covering include:
- Adding and Deleting a Service
- Adding, Editing or Deleting a Specialist
- Creating and Sending Consultations
- Tracking Consultation Requests
Adding specialists to your specialist listing isn’t a required step. You can simply type in the specialist information when sending a consultation however, it will save plenty of time in the future as you build your specialist portfolio.
To access the consultation address book, begin by going to the ‘Consultation’ tab from your Schedule Dashboard → select ‘Edit Specialist Listing’.
1. Adding/Deleting a Service
Tagging specialists with services, helps to categorize them into their corresponding specialty. This helps to organize them and make it easier to search them up when creating a consultation.
To add a service, simply click the ‘Add Service’ button in the address book and type in the service you would like to add. To delete and service, click on the ‘Delete Services’ button in the address book and select the service you would like to delete and click ‘Delete’.
2. Adding, Editing and Deleting a Specialist
To add a specialist to the address book, select ‘Add Specialist’. This will bring you to a window where you can input all the specialist information. Once complete, select the ‘Add Specialist’ button at the bottom-left of the page to add them to your address book.
💡 Be sure to input the specialists service category and fax number. The service category helps make them easy to find when creating a consultation and the fax number lets you directly fax over consultations with the click of the button.💡
To edit or delete a specialist, select ‘Edit Specialist’ in the address book. Here, you can select a specialist to edit any of their information. You can also select specialists you would like to delete by selecting their check box, and then pressing the ‘Delete Specialists’ button below.
3. Creating and Sending Consultations
To start making a new consultation click the ‘+’ beside ‘Consultations’ in the patient’s eChart. This will open a new window where the specialist information can be searched and selected or input manually.
💡 When searching for a specialist, first refine the search by the service category for faster searches.💡
When you are done filling in the consultation information, in the top panel you have the options to:
- Submit Consultation Request
- Submit Consultation Request and Print Preview
- Submit and Fax
- Send eResponse
All of these commands will also save the consultation to the patient's eChart under consultations.
4. Tracking Consultation Requests Sent
There are two ways to track and update consultations sent to specialists:
1. Go to the ‘Consultation’ tab from your Schedule Dashboard. This will open up a window where all consultations can be seen.
2. Go to a patient's eChart and select ‘Consultations’ in the left panel to view the patient's consultation history.
💡 Consultations that appear red mean that they have not been responded to in over 2 weeks. Consultations that appear blue mean they have been responded to, or were made less than 2 weeks ago.💡
To update a consultation, select the consultation to open it up. To the left you will see a panel with the following choices:
Based on the update of the consultation, select one of the choices to track the patient's progress in booking the consultation. Next, select either ‘Update Consultation Request’ or ‘Update Consultation Request & Print Preview’ to update the status and save.
💡 Completed indicates the patient has been booked in for the consultation.💡
