This update brings several improvements to the billing workflow, making it easier to track claim status, work through billing errors, and reconcile roster capitation reports.
This update is slowly being rolled out to clinics so if you do not have this update yet it is still on the way!
Generate OHIP File View
Batch Edit Report Linking
Any new claims created after this update are now linked to the batch edit report they belong to, so you can see at a glance whether each claim file has been accepted.
- Go to Billing and select Generate OHIP File. Claim files waiting on a batch edit report will show as Pending.
- Once the batch edit report arrives, go to View MOH Files and open the batch edit report to process it.
- Return to Generate OHIP File. The linked claim file will now show as Accepted or Rejected.
New status chips at the top of the screen display the number of pending claim files, the number accepted, the total submitted, and the amount of claims submitted for the year.
💡Claim files produced before this update are missing the unique sequence ID needed to link them, so they will not show a pending or accepted status.💡
Added Filters to Enhance Search
-
Filter by provider: You can now filter the list to show only the claim files belonging to a specific doctor or a specific claim number.
-
Year selector: The year selector is now easier to find and read.
-
Billing process facility removed: This field is no longer in use and has been removed from the screen.
Error Correction
Error reports and invoices now display errors more clearly, and you can mark claims as corrected and resubmit them without leaving the invoice.
Reviewing an Error Report
- Go to View MOH Files and open an error report.
- Review the errors in the updated display.
- Use the Pending and Corrected status to track your progress. This same status also appears in Invoice Reports under rejected claims.
Correcting and Resubmitting from the Invoice
- Open the invoice from the error report.
- Review the errors, which are now displayed more clearly within the invoice, and make your corrections.
- Mark the errors as corrected.
- Click Save and Resubmit at the bottom of the invoice when ready. This sets the invoice status to Bill OHIP, saves the invoice, and closes it.
When you return to the error report, it will update automatically to reflect your changes.
Print views for error reports have also been cleaned up:
Roster Capitation
Roster capitation reports are now easier to process when you have multiple billing user profiles, and reviewing the updated information is easier than ever!
When Multiple Providers Share an OHIP Number
Previously, a roster capitation report could not be processed if more than one provider had the same OHIP number. You'll now be asked which provider the report belongs to, and it will reconcile to that provider. Your selection is remembered, so you won't need to choose again for future reports.
Reviewing the Report
Once processed, the report shows:
- Inactive patients: Patients who are still rostered but marked as deceased or inactive in the EMR. You can open their master record to de-roster them.
- Unmatched patients: Patients on the roster who do not have a chart in the EMR.
-
Active patients: Your active rostered patients, with a breakdown of who was added and who was removed this period.
