Your clinic uses Avaros Pay to send invoices for services that aren't covered by your provincial health plan, such as sick notes, forms, or uninsured procedures. Instead of paying at the front desk, you receive the invoice by email and pay it online by card in a couple of minutes. This article explains what to expect and answers common questions.
Avaros Pay is provided by Avaros, the company behind your clinic's electronic medical record, and payments are processed by Stripe, a payment processor used by millions of businesses worldwide. Your payment goes directly to your clinic.
What You Will Receive
When your clinic sends an invoice, you get an email with:
- Your clinic's name as the sender
- The invoice number and date
- The amount due and the due date
- A Pay "Invoice Amount" now button
- A View Invoice button
The email goes to the address your clinic has on file for you. If you were expecting an invoice and haven't received it, check your junk or spam folder first, then contact your clinic to confirm they have your current email address.
How to Pay
- Open the email and select View the Invoice to download a PDF copy.
- Check the invoice. It lists each service, any discounts, and any tax, with the total at the bottom.
- Select Pay "Invoice Amount" Now from the email received to open a secure payment page in your browser.
-
Enter your card details. Visa, Mastercard, American Express and debit cards with a Visa or Mastercard logo are accepted.
- When you click the card field, an optional section will appear below your payment details. You can use it to create an account with Link Stripe's one click checkout service and save your payment information for future invoices. This is optional; fill out only the first section to make a one-time payment.
If you would like to save your payment information for future payments, select the checkbox at the bottom of this screen. - Once you are ready select Pay.
- If payment is accepted you should see the following screen:
- If payment is declined you will see a message at the bottom indicating this:
💡Tip: You can pay from a phone, tablet or computer. If you opened the email on your phone, the payment page is designed to work there too.💡
After You Pay
Within a few moments of paying:
- You receive an Invoice paid email with the amount, the payment date and a link to your receipt. Keep this for your records; it is what you need if you plan to claim the expense through a benefits plan or at tax time.
- Your clinic's records are updated automatically, so you don't need to call or email to let them know you've paid.
Your card or bank statement will show the payment under your clinic's name, not under Avaros or Stripe.
Refunds
If your clinic agrees to refund an invoice, they issue the refund from their end. You don't need to do anything.
- The full invoice amount is returned to the card you paid with.
- You receive a refund confirmation email with the amount, the date and a link to the updated receipt.
- Depending on your bank, the refund can take 5 to 10 business days to appear on your statement.
Refunds are always for the full invoice.
Staying Safe
Online invoices are a common target for scams, so here is how to recognize a genuine Avaros Pay invoice:
- It names your clinic, and you have recently had an appointment or requested a service there.
- The payment page address begins with https://invoice.stripe.com.
- The invoice lists specific services, not a vague "outstanding balance".
- You are never asked for your health card number, your password, or to pay by gift card or e-transfer.
If anything looks wrong, don't pay. Call your clinic using the phone number you already have for them, not a number in the email, and ask them to confirm the invoice.
Frequently Asked Questions
Can I pay at the clinic instead? Yes. Avaros Pay is one option your clinic offers. If you would rather pay in person, contact your clinic and they will take the payment the usual way.
Will I get reminders? No. Avaros Pay doesn't send reminders, so your clinic may follow up with you directly if an invoice is unpaid.
I lost the email. How do I pay? Contact your clinic. They can resend the invoice to your email address.
The link says the invoice has already been paid. Then it has, possibly by a family member. Check for the Invoice paid email, or ask your clinic to confirm.
Can I pay several invoices at once? Each invoice has its own payment page and is paid separately.
Can I save my card for next time? Only if you choose to. Ticking Save my info for faster checkout with Link on the payment page lets Stripe remember your card for future payments. If you leave it unticked, nothing is stored and you enter your card each time.
What is Link, and is it safe? Link is Stripe's one-click checkout, used on many websites. If you turn it on, Stripe keeps your card and contact details and confirms it's you with a one-time code sent to your phone or email when you pay. Your clinic and Avaros never see or store your card number either way. You can view or delete anything saved with Link at any time at link.com.
Can someone else pay on my behalf? Yes. Anyone with the link can pay the invoice with their own card, for example a parent or caregiver.
Is my health information shared with Stripe? The payment page shows the invoice details your clinic entered, such as the service descriptions and amounts, along with your name and email. Your medical record is never shared. Stripe handles your card details, so your clinic never sees your card number.
Who do I contact about the amount or the services listed? Your clinic. Avaros and Stripe cannot change an invoice or discuss your care. Your clinic's phone number is on the invoice.
I paid but my clinic says the invoice is still open. Payments normally post within a minute. If it has been longer, send your clinic the Invoice paid email and they can look into it.
Questions about an invoice? Contact your clinic directly. They can see the invoice, confirm the amount, resend the email, or arrange another way to pay.
