In Avaros, you can securely send messages to your patients, attach documents and be able to see if they’ve acknowledged the message. Find out everything you need to know about patient messaging in the article below.
Where to Find Patient Messaging
Patient messaging can be accessed from your Schedule by clicking on ‘Patient Messaging’.
You are also able to set which other modules you can access patient messaging from by going to ‘Administration’ → ‘Integrations’ → ‘Widgets’.
In the other modules, patient messaging is accessible in the bottom-right of the display and will be automatically associated with the patient whose chart or document is being viewed.
Sending a Secure Patient Message
To send a message to a patient, begin by searching up the patient. Once selected, type your message in the empty text field.
When sending a new message you also have the following options:
- Add ‘Attachments’ - You can browse through the existing documents in Avaros or upload new ones. This will open a preview pane where you can view and select a Document, Lab, eForm or form to attach to the patient message.
- Attach a ‘Questionnaire’ for the patient to fill out;
- Enable or disable a ‘Response’ from the patient;
- Set the response ‘Notifications’ settings;
Once a message has been sent, the patient will receive an email from the clinic containing a link to access their received messages. Following the link and entering their Health Card Number will allow them to view and respond to received messages.
Handling Patient Messages
Once you have opened the patient messaging from the schedule, you will see:
Inbox Folder - Conversations with patients displayed from newest to oldest.
Overdue folder - Messages that were sent to patients that have not been acknowledged within the set due date.
If a patient has acknowledged the message, and there is nothing more required, you can mark the message as ‘Closed’ to remove it from your outstanding list.
💡 Marking a message closed disables the patient's ability to respond to the message. This gives more control to providers over how patients may reach out to them.💡
Patient Signup to Receive Messages
On the patient end, they will receive an email letting them know the provider has sent them a secure message. When receiving a secure message from a clinic for the first time, the patient must signup through Avaros’ two-step process.
💡 The mandatory information required when signing up includes the patient's email address, date of birth and a password you may choose for the account. Health card information is not required and can be switched off while signing up if not accessible.💡
Once successfully signed up to receive patient messages from the clinic, all that is required for future sign-in is the email address for your account and the password you have created.
