Sometimes patients choose to skip the waiting rooms and get a faster treatment by booking a video appointment with their providers. Here’s how you can set up video appointments with your patients in Avaros:
- Double-click on an available time slot on your Schedule Dashboard to book an appointment;
- Enter all the appointment details → select ‘Video’ for the Modality → click ‘CREATE’ when finished;
3. After creating the appointment you will be prompted with the Video Joining Instructions that you can send to the patient via email or text using the two dedicated buttons;
From the Video Joining Instructions window, you have the option to secure the video room with a PIN using the lock button. Patients will then need to enter their 'Name' as well as the 'PIN' to join the video session.
4. When the appointment time comes, just double-click on the appointment to open the 'Update Appointment' window and select the Video Joining Instructions to enter the video call.
5. You will see the appointment date and time as well as your name and the designated box to enter the PIN if you have locked the video room. Click ‘CONTINUE’ to join the meeting;
6. If this is your first time using Avaros video appointments, you will then be prompted by the browser to allow it to use your Camera and Microphone → Click ‘Allow’. Once you do that, your Camera and Microphone will be enabled and you will be able to join the meeting by clicking the ‘JOIN NOW’ button;
7. Once you’ve joined the meeting you will have the option to chat with the user and also attach certain documents relevant to the appointment. To attach a document to the chat conversation:
- Click on the attach symbol (Next to the ‘SEND’ button);
- Search for the patient;
- Search for the document and click the ‘Send’ button;
8. To add a note to the patient’s eChart:
- Select the 'ECHART' tab;
- Type in the note;
- Click on ‘ADD NOTE TO ECHART’; (You will receive a confirmation in the upper-right side of the screen that the note was successfully added to the patient’s eChart);
9. Click the red ‘Hang up’ button when the video appointment is finished to exit the call;
